Frequently asked questions about AI automation

Straight answers about AI automation for owner-led businesses in Ireland: what it costs, whether it's GDPR compliant, how long it takes, and what it can actually do for your business.

What is AI automation for owner-led businesses?

It's using AI tools to handle the repeat admin in your business automatically: replying to enquiries, chasing quotes, drafting documents, sorting your inbox. For an owner-led business it isn't one big system. It's a few small tools, each pointed at a specific job you do over and over. Set up well, they run in the background and you only step in to approve things.

How much does AI automation cost in Ireland?

The first 20-minute session is free, and there's no obligation after it. If you want help setting tools up, I agree a flat price with you up front before any work starts, so there are no surprise bills. Most of the underlying AI tools are low-cost monthly subscriptions, often tens of euros rather than hundreds. I'll always tell you the running cost before you commit to anything.

What can AI automate in an owner-led business?

The repeatable, text-heavy jobs. Common ones are enquiry triage, quote follow-ups, document and report drafting, inbox sorting, client onboarding and turning project photos into social posts. A good rule of thumb: if it's a task you or your staff do the same way again and again, there's usually a tool that can take most of it off your plate.

Do I need to be technical to use AI automation?

No. I set everything up and show you how to run it day to day, which is mostly approving drafts and replies. If your team can use email and a phone, they can use what I leave you with. The technical side stays with me.

Is AI automation GDPR compliant?

It can be, and getting it right is part of the setup. Under GDPR and the Irish Data Protection Act, you need a lawful basis to process personal data. Replying to a customer who contacted you usually rests on legitimate interest or performing a contract, while marketing messages generally need consent. The key points are using tools that keep your data private and don't train on it, only processing what you actually need, and being clear with people about how their data is used. I'm not a lawyer and this isn't legal advice, but I set automations up with these principles built in and show you exactly where data goes.

How long does it take to set up?

The free session is twenty minutes. A single automation, like quote follow-ups or enquiry triage, can often be working within a few days. If you want several tools set up, it's usually a week or two of part-time work rather than a big project. You'll have a realistic timeline before anything starts.

What's the difference between AI automation and just using ChatGPT?

ChatGPT is a tool you open and type into. Automation is about the tool doing the job without you opening anything. The difference is whether the work happens on its own. A chatbot helps you write one follow-up email when you remember to ask. Automation sends the right follow-up to every quote, on time, every time, while you're out on a job. Same underlying AI, very different result.

Will AI replace my staff?

That's not what this is for. The aim is to take the boring, repeat admin off the people you have, so they spend their time on the work that actually needs a person. For most owner-led businesses the problem isn't too many staff, it's good people stuck doing chasing and paperwork in the evenings. Automation gives those hours back.

Which businesses do you work with?

Owner-led businesses across Munster, typically five to fifteen staff. That's mostly trades, professional services and design firms: plumbers and electricians, accountants and solicitors, architects and showrooms. If the owner still answers the phone and admin is eating the week, you're the right fit.

Where do you cover?

Munster, in person. I'm based in Cashel, Co. Tipperary, and cover Cork, Limerick, Waterford, Clare, Tipperary and Kilkenny, anywhere within about a 90-minute drive. The free session happens at your premises, not over a video call, so we look at how your business actually works.

Is my business data safe with AI tools?

Yes, when the right tools are chosen. I use AI services with business-grade privacy settings that keep your data private and don't use it to train their models. We only feed in what a task genuinely needs, and I show you exactly where information goes before anything goes live. For sensitive work like legal or financial files, that boundary is the first thing we agree.

What if it doesn't work for my business?

Then you've lost twenty minutes and a cup of tea. The session is free and there's no pitch at the end. If the tools wouldn't genuinely save you time, I'll tell you so, rather than selling you something that won't help. I'd rather be honest and useful than push a tool that doesn't fit.
