Privacy policy
This page explains what information Sorted Systems collects when you get in touch, why, and what your rights are. It is written in plain English and in good faith. It is not legal advice.
Who we are
The data controller.
Sorted Systems is a sole trader based in Cashel, Co. Tipperary. In data protection terms, Sorted Systems is the data controller for the information you send through this site.
For anything about your information or this policy, email fraenkelgareth@gmail.com.
What we collect
What information we collect.
Two things, and no more:
- What you type into the contact form: your name, your business name, your email address, and the message you write.
- Standard hosting logs: our host, Netlify, keeps normal server logs as part of running any website. These can include your IP address and basic browser information. This is ordinary hosting activity, not something we use to follow you around.
We don't ask for anything we don't need, and there are no hidden fields in the form.
Why we use it
Why we use your information.
We use the contact form details for one thing: to read and reply to the enquiry you sent. We do not use them for marketing, and we do not sell or pass them to anyone else for marketing.
The lawful basis is straightforward. You contacted us and asked for a reply, so handling your message is part of responding to your own request, and our legitimate interest in answering enquiries about our service. We do not rely on your consent for this, because you have actively asked us to get back to you.
Who else is involved
Who we share it with.
To run the site and reply to you, a small number of providers handle some of this information on our behalf:
- Netlify host the site, run the contact form, and provide visitor analytics. Their analytics is cookieless and based on server logs, so it counts visits without identifying you or placing anything on your device. As a global provider, Netlify may process some data outside the EU, under the appropriate safeguards required by data protection law.
- Our email provider, which we use to read and reply to the messages that come in through the form.
- Google Search Console, which we use to see how the site appears in Google Search. It reports on the site's search performance and does not collect your personal data directly from this site.
We do not use any advertising networks, social media pixels or third-party tracking tools.
How long we keep it
How long we hold on to it.
We keep your enquiry for as long as we are in contact about it, and for a reasonable period afterwards in case you come back to us, up to 24 months after our last contact. After that we delete it. Netlify's server logs are held for a short period by Netlify as part of normal hosting, then rotated out.
Cookies and analytics
No tracking, no cookie banner.
This site sets no tracking, advertising or analytics cookies. Visitor numbers are measured by Netlify in a cookieless, server-side way that does not identify individuals. Any cookies that might be used are strictly necessary ones that simply help the site and the contact form work.
Because there are no non-essential cookies, there is no cookie banner to click through, and nothing for you to consent to. That is deliberate.
Your rights
Your rights over your information.
Under the GDPR and Irish data protection law, you have the right to:
- Access a copy of the information we hold about you.
- Rectification, to have anything wrong corrected.
- Erasure, to have it deleted.
- Restriction, to ask us to pause how we use it.
- Objection, to object to us using it.
- Portability, to receive it in a portable format.
You also have the right to complain to the Data Protection Commission, the Irish supervisory authority, at dataprotection.ie.
Getting in touch
How to exercise your rights.
To do any of the above, just email fraenkelgareth@gmail.com and tell us what you'd like. We will respond within the timeframes set out in data protection law, and there is normally no charge.
